We have an exciting opportunity for an Administrator to join our busy offices based in Tiverton on a temporary basis for 6 months with the possibility of an extension. We are looking for someone to start ASAP, working 37 hours per week, at £10.41 p/h.

As the Administrator, your main duties will include:

  • To develop and manage performance management and quality systems for building maintenance and thereby contribute to the implementation of the Asset Management, Medium Term Financial and Capital Plans
  • To oversee and develop the Energy Management systems and report on the performance of the Energy Saving Measures such as Solar Photovoltaic installations and reporting Carbon Emissions
  • To develop and implement Facilities Management Policies and Procedures in line with ISO 9001 guidelines
  • To be responsible for analysing information, reviewing processes, evaluating options and solutions, draft procedure guides and reports on the procurement of the building maintenance and improvement programs
  • Utilise and maintain accurate information in the Building CDM files, Asset Management Register, Asbestos and other registers. This is to include the CAPS system
  • To manage the cleaning team and ensure good standard of cleanliness is maintained across the portfolio including the Public Conveniences
  • Develop the Property Service Helpdesk with Business Support Officers. Use the e-Procurement system to raise orders and pay invoices and monitoring expenditure against budgets using e-Analyser
  • To monitor energy and water usage and costs linked to the Energy Saving Performance Contract (ESPC) and report and act on variances to ensure that the carbon reduction initiatives remain effective and continue to be developed with technology. Upload annual consumption reports to SPAR
  • To manage the business processes, working practices and procedures and introduce performance management targets are met within the service level agreement timescales, whilst also making recommendations for improvements
  • To explore new and fully utilise existing ICT systems in the delivery of an effective and efficient Business Support service through appropriate ICT Liaison and employee training, whilst maintaining data integrity
  • To manage the Document Management System within Housing Services and ensure that document retention guidelines are met and fall within the data protection act
  • Maintain and improve ownership records on the Corporate Estate Management System (CAPS-EM) and provide accurate monthly reports
  • To support funding applications to the Housing and Communities Agency and ensure satisfactory compliance audit of expenditure
