Our client is seeking a Administration Assistant on an initial 11 month contract with the possibility of an extension.

Working Hours:

37 Hours per week

Monday - Friday

Pay Rate:

£9.01 p/h

Job Purpose:

We works closely with partner organisations and our approach is built on the firm foundations of an integrated team around the family. We facilitate local support and evidence-based intervention for children and families to prevent needs escalating to a level requiring statutory specialist services. Where specialist services are needed, we ensure that timely and effective decisions are made to secure the best outcomes for a child's future.

Duties and Responsibilities:

Implement the business process consistently, implementing and recording data correctly and efficiently.

Ensure data and processes are auctioned in line with statutory deadlines as set out in the business process.

Process all administrative work in a timely and efficient manner ensuring a high standard of accuracy and presentation.

Adhere to data protection and information governance procedures.

Create and maintain electronic and manual client records in accordance with Corporate Records Management policies and ensuring compliance with Freedom of Information and policies on case recording, filing, retention and destruction.

Support various meetings, including:- organising venues, issuing invites, minute taking, the production of accurate records and the distribution of reports within agreed time scales.

Communicate effectively face to face, by letter, e-mail or telephone in a polite and confident manner: responding to telephone calls, personal callers and other forms of communication; filtering telephone calls, answering questions from members of the public and other agencies on the services of the team and accurately recording messages to ensure effective communication.

Process financial transactions including purchase orders and invoices, in accordance with financial procedures /regulations.

Contribute to the shaping, continual improvement and promotion of the BSS 5.

Actively participate in the performance, quality assurance processes, including peer and reflective supervision, analysis of performance data, learning from complaints and compliments, personal development and continuing professional development.

Demonstrate a commitment to a flexible working approach by carrying out duties at another work base on occasions, as required by the Service.

Undertake any other duties required by Management which are commensurate with the grading of the post including demonstrating a commitment to further training and development.

Skills and Experience:

Experience of using computer based information systems in an office environment.

Experience of using IT systems including Microsoft Office and Outlook.

Experience of arranging formal meetings including a range of participants.

Experience of working within a team, preferably in an office environment.

Knowledge of the principles of, and experience of providing, excellent customer service.

Knowledge of good practice in office systems and procedures. A/I/T Skills.

Good written and oral communication skills with internal & external colleagues, as well as members of the public.

Ability to interpret, format and accurately present information.

Commitment to an excellent service and the achievement of high quality standards.

Demonstrate accurate numerical skills required to process time sheets and financial documents, with an eye for detail when processing information.

Time Management skills, with an ability to work under pressure to meet deadlines and prioritise competing work tasks.

Ability to respond positively to changes in allocation of work to support colleagues.
